Understanding Cloud Scan Processing and Delivery Order

This page applies to:

Last updated October 6, 2026

PaperCut Cloud Services handles your advanced scanning jobs quickly and smoothly. The system processes tasks like optical character recognition (OCR), deskewing, and blank page removal in the cloud.

Scan job completion times vary based on document size and complexity. A simple two-page file finishes processing much faster than an image-heavy eighty-page document. Multi-threading allows smaller jobs to finish quickly and jump ahead in the delivery queue.

PaperCut cannot guarantee chronological delivery order when cloud processing is active. Jobs arrive in your inbox or folder as soon as processing finishes.

You can turn off cloud features if your team requires strict numerical delivery order. In the Scan Actions tab, clear the Is Searchable (OCR) checkbox and clear the Despeckle checkbox. Local processing then delivers your files in exact submission order.

You can also add metadata prompts at the printer panel. Users enter a unique identifier before pressing start. Delivery order no longer matters because every file includes its correct reference ID.

Using Advanced Scanning and CSV Lookup for Dynamic File Naming and Folder Routing

Automate your document workflows directly at your multifunction device. CSV lookup links user input to your central database for instant file naming and folder routing. This workflow eliminates manual sorting for student files, patient records, and invoices.

Prerequisites

  • PaperCut MF version 22.0 or higher
  • Advanced Scanning license

Steps to Setup CSV Lookup Routing

  1. In your CSV file, format headers like StudentID, StudentName, and Department, then save it as addressbook.csv in [Install Path]/server/data/csv-datasources.
  2. In the PaperCut Admin Web Interface, navigate to Devices, click Scan Actions, and then click Create New.
  3. Under the Prompt Setup section, select Primary lookup (CSV) from the Data Source dropdown menu.
  4. In the Filename field, enter your dynamic variable string such as {{fields.StudentID}}_{{date}}.
  5. In the Folder Path field, enter your target directory string such as \\server\scans\{{fields.Department}}\.
  6. At the bottom of the page, click Save & Apply to Devices.
