Access cards (also known as swipe cards, ID cards, proximity cards, or building access cards) can be used to log in at a multi-function device (MFD) that has the PaperCut Hive embedded app installed (PaperCut Hive only).
A user’s card number must be associated with their PaperCut account for it to work.
Users can self-associate their access card at the MFD using their access code. They can:
- log in to the embedded software on a compatible MFD (PaperCut Hive only)
- register a swipe card at an MFD (PaperCut Hive only).
You can also set up users to use their access card (swipe card) to log in to a printer or MFD to release their print jobs.
How access card numbers are managed
Card numbers are populated in PaperCut Hive in any of the following three ways:
- A user associates their card to their PaperCut Hive user account at the MFD (self-association) by using their access code.
- Card numbers (up to two) are synced from an identity provider (Google Workspace or Microsoft Entra ID).
- One or more card numbers are imported using the user data import tool (CSV/TSV).

You can configure an identity provider sync to import custom access card numbers for users:

If you store card numbers in a different system, you can export them to a CSV or TSV file, then import them into PaperCut Hive or Pocket.

How users self-associate a card at the MFD (copier/printer)
As a user, before you start the administrator must have installed the PaperCut Hive embedded app on the MFD and enabled the Swipe card option. Read on to learn how to associate (link) your access card to your PaperCut Hive account.
- Go to the printer/copier.
- Tap your unregistered access card on the card reader. The device detects the card is unknown and starts the self-association process.
- When prompted, enter your PaperCut Hive access code.
Important: This is not your network password. - If you do not know your access code:
- Select Forgotten access code. PaperCut Hive emails the code to your registered email address.
- Enter the code on the printer/copier.
- Select Confirm. The card is linked to your user account.
- Tap the card on the card reader again to test the association. Your are logged in automatically.
How to delete access card numbers
