Configure an SMTP server for Gmail, Yahoo, or Outlook.com

This topic explains how to configure PaperCut NG/MF to send system notifications using popular email services. When you select a service from the dropdown menu, the system pre-populates the required server and port settings

Configure Gmail, Yahoo, or Outlook.com for notifications

In the PaperCut admin console, select Options > Notifications.
The Notifications page is displayed.
In the SMTP Server Options section, select the Choose dropdown menu.
Select your email provider (Gmail, Yahoo, or Outlook.com). The SMTP Server, Port, and Encryption fields are pre-populated with the correct values.
In the Username field, type your full email address.
In the Password field, type your account password for Outlook.com or Yahoo. For Gmail an App password will be needed. See steps below.
Click Apply.
Lastly, at the bottom of the Notifications tab find the Test Notifications area to test functionality.

Configure Gmail to use an App Password

Gmail no longer supports basic authentication (signing in with only a username and password) for third-party applications like PaperCut NG/MF. If you enter your standard Gmail password in the SMTP Server Options, Google returns a 535-5.7.8 Username and Password not accepted error.

To use Gmail SMTP with PaperCut NG/MF, use one of the following methods:

Gmail with OAuth2: Use Google's preferred security method, available in PaperCut NG/MF version 22.1.2 or later. See: Configure an SMTP server over OAuth2 for Gmail.
Gmail app password: Alternatively, use a generated password tied to your account. From Google's documentation see: Sign in with app passwords. This requires 2-Step Verification to be enabled on your Gmail account and will stop working as soon as a password is changed.

Generate an App Password

Sign in to your Google account.
Click your profile icon (top right) > Manage your Google Account.
Select the Security tab.
Under Signing into Google, click 2-Step Verification and follow the steps.
Go to Create and manage your app passwords.
Under Your app passwords enter a name like PaperCut SMTP Notifications and click Create.
Copy the app password immediately. Google only displays this password once.
