To ensure the ongoing reliability and scale of our premium cloud services, PaperCut will now actively validate Maintenance & Support (M&S) status. This update aligns our product behavior with existing EULA requirements and allows us to continue providing high-performance infrastructure for all users.
Which Services are Affected?
You can still scan locally to folders or email without an active agreement. However, you need active M&S to use these specific cloud features:
- Scan to Cloud: Destinations such as Google Drive, OneDrive, SharePoint Online, and Dropbox.
- Cloud Document Processing: OCR, Blank Page Removal, Despeckle, etc.
Key Dates & Timeline
- April 1, 2026: PaperCut will begin proactively identifying accounts using Cloud Services with lapsed M&S.
- April 1 – June 30 (Grace Period): Usage will be logged and shared with PaperCut Accredited Resellers to assist with renewals. Services will remain active during this time.
- June 30, 2026: Product changes take effect alongside the MF26 release. Active M&S will be required to maintain access to these features.

Q&A
Is this a change in PaperCut policy?
No. PaperCut’s EULA already requires active M&S for the use of cloud-hosted services. We are simply introducing product-level enforcement to ensure sustainability and service quality.
Which services are affected?
This change applies specifically to features that rely on PaperCut’s cloud infrastructure:
Scan to Cloud (Google Drive, OneDrive, SharePoint Online, Dropbox, etc.)
Cloud Document Processing (OCR, Blank Page Removal, Despeckle, etc.)
What is the "Grace Period" and "Monitoring Phase"?
From April 1, 2026, we will begin proactively monitoring cloud usage against M&S status.
Note: While this transition was originally positioned for late 2025, we have extended the grace period by an additional six months. This extension is designed to give our partners and customers ample time to transition and ensure budgets are aligned for renewals.
No services will be cut off on April 1.
To help you prepare for the June enforcement date, targeted usage reports are now available through your Authorized Service Consultant (ASC). If you haven't heard from them yet, you can find their direct contact details under the 'About' tab in your dashboard to start your renewal discussion
How will PaperCut v26 (and newer) behave?
We’ve designed v26 to handle lapsed M&S gracefully to protect the end-user experience:
User Experience: If M&S is inactive, cloud-based Scan Actions will be automatically hidden from the MFD gallery. This prevents users from attempting a scan that would otherwise fail.
Admin Experience: Administrators will see a clear notification banner in the PaperCut MF Dashboard. This banner will explain why the icons are hidden and provide a direct path to initiate a renewal.
How will older versions of PaperCut MF (v25 and below) behave?
Because older versions do not have the "auto-hide" logic, the enforcement happens at the cloud token level:
User Experience: When the "switch" is flipped (Targeted June 30), the cloud service will stop issuing or renewing the tokens required for accessing Scan to Cloud Services.
Result: Users attempting to scan to the cloud will not receive scanned documents. The Application server will log a "Job Failed" or "Authentication Error".

Recommendation: We strongly encourage customers to ensure their M&S is current before June 30 to avoid this "hard" failure.
If scan notifications are enabled a user will receive the message of the failure to report to there administrator
What happens when a customer renews their M&S?
Once the renewal is processed and the license is updated, cloud services will be restored.
In v26, the Scan Action icons will automatically reappear on the MFD.
Pre v26, when the administrator re enables cloud services, access to cloud Services will be restored.
