Cloud Print Queue Deployment for PaperCut Hive

Say goodbye to manual print queue setup. PaperCut Hive's Print Queue Deployment automatically delivers the right print queues to the right users — no servers or scripts needed. It’s smart, simple, and now available for all customers in Public Beta.

Overview

Print queue management has always been a time-consuming task for IT.

PaperCut Hive’s Print Queue Deployment is here to change that. This feature automates how you deliver printers, saving you time, reducing support tickets, and making printing easier for everyone, especially in hybrid or multi-site environments.

We tested this with over 100 customers in our early access program. Here’s what one of them had to say:

“Ease of use to set up a direct queue took about 10 minutes and worked straight away!”
— IT Admin, educational college in the UK

Print Queue Deployment is now available to all PaperCut Hive customers in Public Beta. The feature is already in your tenant and ready to go. We’re keeping the beta label as we add more great features, so your feedback is vital in shaping what comes next!

What’s new:

A smarter printing experience for ARM64 devices!

We’ve supercharged Print Queue Deployment for ARM64 devices. Now, admins can upload both x64 and ARM64 print drivers for Windows devices into a single print queue. Our client then auto-magically identifies the computer’s architecture and deploys the right one.

Plus, if a manufacturer doesn’t have an ARM64 driver, no problem. Our PaperCut Global Print Driver supports ARM64 devices.

ARM64 support is available to all PaperCut Hive tenancies. Simply jump into the admin interface, create a new queue or modify an existing one, and you’ll see the option to configure a driver specifically for your ARM64 devices.

More control over deployment rules

You asked for more flexibility with deployment rules. We heard you loud and clear! You can now easily edit, reuse, and delete rules to perfect your setup.

This powerful update is now live for all customers, making it even easier to manage your print queues.

What’s next for Print Queue Deployment

A simpler way to reuse drivers

We’ve heard your feedback loud and clear. Setting up multiple print queues, using the same driver, is too complex. You can already reuse existing drivers by managing them via CSV, but admins can find that daunting when they just want to create one more print queue.

Our team are hard at work enabling you to reuse print drivers across multiple print queues from within the admin UI. When creating a new queue, you’ll have the option to copy the driver from an existing print queue, saving you time and effort.

Real-world scenarios: Where Print Queue Deployment shines

Simplify printing in education labs

Automatically deploy queues to shared lab computers based on their hostname. Eliminate scripting and GPOs — giving users fast, friction-free access to the right printers.

Support multi-site and hybrid teams

Support users working across multiple offices, locations, or even from home. Use network-based rules to automatically deliver the right printers based on where a user connects — making dynamic environments feel seamless.

Manage multi-OS print environments

Easily deliver print queues to both Windows and macOS devices — no extra tools or workflows needed. Cut through complexity and manage cross-platform printing with confidence.

Create direct print queues for specific users

While most of your team can rely on Find-Me printing for flexibility and security, there are always a few users — like your CEO or executive assistants — who need something more direct. With Print Queue Deployment, you can assign a personal direct IP printer just to them, using a rule based on their username or device.

Known limitations

We believe in being transparent, especially during a Public Beta. Here are a few things we’re actively working on improving:

  1. When deploying the PaperCut Hive/Pocket client via an MDM tool:
    1. It could take a while for the system and user component to be deployed, which could delay users from receiving their print queues when they log onto a computer.
    2. A user, with a fresh client installation, is prompted to authenticate upon their first print to the “PaperCut Printer”. Until their identity is known, Direct Print queues won’t be deployed. This could confuse users as they might not know that they first need to print through the default Find-Me queue before they will have access to additional print queues.
  2. Reusing uploaded drivers is only possible via CSV uploads.
  3. Direct print queues don’t support quota zero stop. When a user prints via a direct print queue, credit is deducted from their balance, but once they reach zero, they will still be able to print to direct print queues and enter a negative balance.
  4. A user has to have direct network access to a printer for Direct Printing to work. Routing of print jobs via other PaperCut Hive clients or the Cloud Node is not yet supported.

We will address all these limitations and add a lot more functionality, as shared in the roadmap below.

Subscription requirements

PaperCut Hive:

You can create an unlimited number of print queues for each licensed printer in PaperCut Hive without incurring additional subscription fees. For example, creating a default color print queue for one set of users and a default black-and-white print queue for another set of users will not impact your subscription cost.

All printer subscription tiers include Print Queue Deployment as standard:

  • Printer Subscription (formerly known as Device with Mobile Release)
  • Lite Embedded subscription
  • Full Embedded subscription

You are not able to create or deploy print queues for printers that are not licensed.

PaperCut Pocket:

PaperCut Pocket is licensed based on users, not printers. Print Queue Deployment in PaperCut Pocket is included in the standard user-based subscription and does not require an additional subscription.

Frequently asked questions

You’ve probably got a couple of questions on your mind right about now. We’ve done our best to answer the most common ones right here.

q for question

What is Print Queue Deployment in PaperCut Hive?

It’s a feature that automatically delivers the right print queue (either Find-Me or direct IP) to the right person based on rules you set, like their network location or device name. It's designed to save IT time, reduce support tickets, and simplify printing in modern work environments.

q for question

Does this replace my print servers?

Yes! For many organizations, that's a key benefit. Print Queue Deployment is a cloud-native feature that allows you to deploy and manage print queues without needing on-premise print servers.

q for question

How are licensing and subscriptions handled?

Simple! Print Queue Deployment is included in all PaperCut Hive and PaperCut Pocket subscriptions. In PaperCut Hive, you can deploy an unlimited number of print queues to any printer that has a license. We license per printer, not per queue. In PaperCut Pocket, you can deployed unlimited print queues as part of your user-based license.

q for question

Which operating systems are supported?

Print Queue Deployment currently supports both Windows (both x64 and ARM64) and macOS devices.

q for question

Can I deploy different types of print queues?

Yes, you can deploy both flexible Find-Me print queues and direct print queues for specific printers.

q for question

Can I deploy direct print queues without using secure release?

You sure can. Direct print queues don't require secure release, giving you full flexibility.

q for question

How do I limit who receives a specific Find-Me print queue?

Find-Me print queues can be deployed using the same rules as direct queues. You can limit them to users based on their location (network rules), their device, or their username. This is perfect for when different sites have different printer models.

q for question

How quickly are print queues deployed or updated?

Deployment is fast. Checks for new or updated queues run when a user first authenticates, when their device changes networks, and then about every 5-10 minutes.

q for question

What happens if I edit a print queue after it’s been deployed?

Changes you make to a queue's name, drivers, or its deployment rules will be automatically rolled out to users' computers within 5-10 minutes. Please note that for now, a deployment rule itself cannot be edited; you'll just create a new one if you need to make a change.

q for question

Can I hide the default "PaperCut Printer"?

Yes. While the "PaperCut Printer" is visible by default, you can create a deployment rule to exclude it from users' machines after they have authenticated.

q for question

Is there a limit to how many queues I can create for one printer?

No, you can create as many queues as you need for a licensed printer.

q for question

Is there a limit to how many individual users I can add to one rule?

Yes, a single deployment rule is limited to 50 individual users. For larger groups, we recommend using network or device hostname rules.

q for question

Are there options for bulk management?

Yes! The admin console has a great tool that lets you create and deploy direct print queues in bulk using a CSV file.

q for question

Can I deploy queues based on user groups?

Not yet, but this is a top priority. Deploying queues based on a user's group membership (from Entra ID or Google Workspace) is planned for an upcoming release.

q for question

Will you be supporting Windows Protected Print?

Yes, adding support for the modern Windows Protected Print framework is on our roadmap.

q for question

Will you add print policies (like 2-sided or B&W) for direct queues?

Yes, introducing Print Policies for direct queues is part of our roadmap and will be introduced in a future release.

q for question

Why do our MDM-managed devices sometimes have a delay in getting print queues?

When using an MDM tool, it can sometimes take a few moments for all the necessary components to install after a user logs into a new computer for the first time. We're exploring how we can make this experience faster in the future.

q for question

My user on an MDM device can't see their direct print queues. How do they fix it?

Make sure PaperCut Hive knows who the user is, they just need to print their first job to the main "PaperCut Printer" and authenticate. After that, all their assigned direct print queues will appear automatically.

q for question

Can users print to a direct queue if they are not connected to the internet?

Printing to direct print queues currently requires an active internet connection. This is because the printer's IP address is securely fetched from the cloud right when you print. We are exploring options for offline direct printing in the future.

q for question

Do users need to be on the same network as the printer for Direct Printing?

For now, yes. A user's computer needs a direct network connection to the printer to use a direct print queue. We are adding future options to allow direct printing via other PaperCut Hive clients or the Cloud Node for more complex networks.

q for question

How do print quotas work with direct print queues?

Print jobs sent to direct queues are tracked and deducted from a user's balance. However, currently, the "zero stop" feature isn't active for direct queues, so a user can go into a negative balance. Full quota enforcement for direct queues is high on our list for a future update.

q for question

How can I reuse a single print driver across multiple queues?

You can do this today using the Bulk Actions > Manage via CSV tool. We're also developing a new feature that will let you to reuse print drivers directly in the admin UI.
