Deactivating, deleting, and reactivating organizations in PaperCut Hive

Preparing to stop using PaperCut Hive

As soon as you deactivate your organization’s instance, all admins and end-users will be unable to log into PaperCut Hive. As such, before you start the deactivation (or deletion) process for your organization’s instance, you need to prepare by working through the deactivation preparation checklist below. This will help avoid interruptions to your future printing after you’re no longer using PaperCut Hive.

Deactivation preparation checklist

Before you deactivate PaperCut Hive:

  1. Log in to the PaperCut Hive admin console.
  2. Download any data you’d like to keep (such as reports , or your User List via the Import user data tool).

We also recommend that you:

  1. Notify all your end-users that PaperCut Hive will be deactivated. Admins will be automatically notified by email.
  2. If your end-users use the mobile app on their mobile phones or tablets, ask them to delete it.
  3. Remove any PaperCut Hive embedded apps:
    1. In the PaperCut Hive admin console, go to Printers > select a printer > Apps, then follow the instructions to uninstall.
    2. Repeat for each printer with an installed embedded app.
  4. Uninstall the PaperCut Hive client software from end-users’ computers.

Deactivating an organization in PaperCut Hive

To deactivate your organization’s instance in PaperCut Hive:

  1. Complete the Deactivation preparation checklist .
  2. In the top-right corner of the PaperCut Hive admin console, click your name.
  3. Go to Settings > Deactivate organization.

  4. Select Deactivate organization. A popup is displayed.

  5. Review and complete the on-screen items.
  6. Select Deactivate now.

What happens after an organization’s instance is deactivated

After your organization’s instance is deactivated:

  • all of your organization’s admins will receive an email notification
  • all connected Add-ons will be disconnected
  • all scheduled reports will be disabled
  • if the client software is not uninstalled, it will take up to 24 hours for printing to stop working
  • if any embedded apps were not uninstalled, they will stop functioning on the MFD
  • admins will not be able to log in to the PaperCut Hive admin console; existing logged-in sessions will remain functional until their session expires
  • end-users will not be able to log in to the PaperCut Hive User Portal; existing logged-in sessions will remain functional until their session expires
  • your organization instance’s user data, print history, settings, and more in PaperCut Hive may be permanently deleted after 60 days.

Deleting an organization instance in PaperCut Hive

Although a deactivated organization instance’s data may be permanently deleted by PaperCut after 60 days, in some situations, you might want to formally request that PaperCut delete your organization instance.

To delete your organization instance:

  1. First, follow the steps to deactivate your organization’s instance. After the organization’s instance has been deactivated, all admins will receive an email.
  2. Follow the email’s information about how to request permanent deletion of your organization’s instance in PaperCut Hive.

How to reactivate a deactivated organization instance

Changed your mind about leaving PaperCut Hive? After your organization’s instance is deactivated, you’ll need to contact PaperCut Support as soon as possible to reactivate it.

Note that 60 days after your organization’s instance is deactivated, PaperCut may delete some or all of your organization instance’s data. As such, any reactivation request must occur before this 60-day period has finished.
